JOB DESCRIPTION
Administrative Coordinator
Reports to: Executive Director
Job Summary
The Administrative Coordinator oversees the daily operations of the Front Office. Acting as the initial point of contact for visitors, this role embodies the organization's mission and values, serving as a welcoming and informative ambassador.
This is a part-time contract position, which can be renewed based on performance and funding.
Working closely with the Executive Director and the Operations Manager, this role involves a variety of administrative and support tasks, including but not limited to:
Demonstrate strong verbal, written, and interpersonal skills, ensuring a professional and welcoming environment for all visitors.
Collaborate seamlessly within the team to uphold organizational standards, facilitate effective communication, and keep the entire team informed and engaged.
Utilize Microsoft Office tools proficiently to streamline administrative processes.
Be well-versed in the history of YMI and effectively conduct informative tours of the building for visitors, as needed.
Assist in the coordination of special programs and events hosted by the YMI.
Provide administrative support, including drafting correspondence, managing schedules, organizing meetings, editing and formatting documents, and handling various clerical tasks such as filing, bookkeeping, and document preparation.
Review, process, and manage incoming documents and communications with professionalism, efficiency, and timeliness.
Maintain comprehensive and accurate records.
Manages print and electronic Newsletters.
Manage, edit and oversee the YMI Website and all YMI social media.
Additional ResponsibilitiesProvide project and event planning and management for programs and special events.
Responsible for proposing effective financial planning, controls, receivables and payables for events.
Manage schedules and calendars for YMICC and events.
Oversee YMI’s Lending Library.
Conduct research to support organizational initiatives.
Provide guidance and support to volunteers.
Maintain inventory and order office supplies as needed.
Ensure the staffing (volunteers, contractors) and building security compliance for YMI events.
Qualifications
Excellent communication skills, both verbal and written, and customer service skills.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Business Suite.
Familiarity with administrative and clerical procedures.
Ability to work independently and collaboratively in a dynamic environment.
Knowledge of YMI history (preferred).
